Data security in MOT Kielipalvelu®
Particularly in a professional context, using a cloud-based service on the Internet raises many data security concerns.
In addition to personal data, potentially confidential data such as customer or company documents, agreements and technical documentation will be transferred, stored, archived, and possibly even used to train for example AI systems. In practice, in a language service like Kielikone’s MOT Kielipalvelu® confidential data includes, for example, search words, translated documents and proofread texts.
Kielikone has taken care to build a platform which offers a very high level of data security combined with adequate transparency. This page describes where your data is and how it is processed in Kielikone's MOT Kielipalvelu®.
Where is my data located?
Kielikone's MOT Kielipalvelu® is a highly secure web-based service and it is accessed on https://www.sanakirja.fi. The service runs on a cloud-based application platform. Some parts of the service rely on third party services and are accessed using APIs licensed from our partners. Kielikone monitors transfer of user data to partners and prevents unnecessary sharing. Only unstructured, natural language content is sent to a partner API. No personal data is sent to a partner API.
Kielikone will only use trusted and well known vendors as cloud providers and API partners and Kielikone uses only vendors who process all data inside the EU. When selecting partners Kielikone makes sure that the cloud providers and API partners meet the personal data processing and security requirements of the GDPR, and provide sufficient terms and conditions and documentation to meet the requirements in GDPR §28.

How is my data dealt with?
In MOT Kielipalvelu® your data might be, for example, words you look up, texts you translate or proofread, and word lists or own glossaries you create. Kielikone also collects usage data.
All data is always transmitted using the secure HTTPS protocol. In the handling of data advanced technical and physical supervision methods and encryption practices are followed. Regular backups are taken of the cloud and API partners’ servers. Best practices are followed in backup procedures both at Kielikone and at our partners with special attention to data lifecycle management.
All usage data may be used internally by Kielikone for preventing illegal use and for product development purposes. Usage data is not connected to the licensee or the user in any way. Usage logs are stored on secure Kielikone servers and the data is managed following best data security practices. MOT Sanakirjat®
Search words are kept only during lookup.
Search words are not connected to the user or the licensee.
The user can prevent logging for dictionary improvement purposes by adjusting browser settings.
In MOT Sanakirjat®, the dictionary section of MOT Kielipalvelu®, the user may type in search words and look up translations and definitions for them in Kielikone’s dictionaries. Search words submitted by users are not stored, used, analyzed, or transferred in any way except to the extent and duration that it is necessary to provide the dictionary service, and they are not connected to the licensee or the user in any way.
The only exception to this are Kielikone’s search word logs intended for the purposes of lexicographical research conducted to improve Kielikone’s services. In these logs individual and isolated search words are stored without any connection to the licensee or the user. After research use the logs are deleted.
If the user wants to prevent the logging of search words for Kielikone’s lexicographical research purposes, they can do so by adjusting the settings of their browser.
MOT Kääntäjä®
Texts are not used in any way except for providing the translation service.
Texts submitted for translating are kept only for the duration of the translation.
Source texts and translations are not connected to the user or the licensee.
In MOT Kääntäjä®, the machine translation service in MOT Kielipalvelu®, the user may translate free text that they type or paste in a field or upload in a document. All source contents and translation results are kept in the cloud only during translation. Texts and documents submitted for translating are not stored, used, analyzed, or transferred in any way except to the extent and duration that it is necessary to provide the translation service, and they are not connected to the licensee or the user in any way.
The only logs Kielikone collects deal with number of translations made in a given period of time and the language pairs selected. These logs are not connected to the licensee or the user in any way.
MOT Kielentarkistin®
Source texts are not connected to the user or the licensee.
Texts submitted for proofreading are kept only for the duration of the proofing.
Texts are not used in any way except for providing the proofreading service.
In MOT Kielentarkistin®, the proofreading service in MOT Kielipalvelu®, the user may type or paste in a field text to be proofread for typing errors and grammatical mistakes. All source contents and proofreading results are kept in the cloud only during proofing. Texts submitted for proofreading are not stored, used, analyzed, or transferred in any way except to the extent and duration that it is necessary to provide the proofreading service, and they are not connected to the licensee or the user in any way.
The only logs Kielikone collects deal with number of proofings made in a given period of time and the languages selected. These logs are not connected to the licensee or the user in any way.
MOT Sanastot®
Licensees who have included the optional feature MOT Sanastot® in their MOT Kielipalvelu® may use their own glossaries to supplement both the dictionaries and the machine translation of the service. All glossary data is stored securely in the cloud for the duration of the licensing period and it is only accessible to the licensee it belongs to. The glossary data is not used, analyzed, or transferred in any way except to the extent and duration that it is necessary to provide the glossary service.
How is my personal data dealt with?
In relation to personal data, Kielikone is a controller.
Kielikone uses personal data entered by the user only for the purposes of authentication and monitoring usage. All personal data (for example user names, e-mail addresses and IP addresses) is stored in the cloud and controlled by Kielikone. Kielikone does not process personal data on behalf of its customers.
With Microsoft Azure, Haka and MPASSid authentication the service may be used without Kielikone storing any personal information about the user.
To prevent illegal use, Kielikone tracks user action occurrences without storing action contents.
